An online whiteboard makes corporate training practical: trainers sketch processes, annotate real company documents and hand the pen to participants, while recordings, courses with certificates and an admin dashboard cover onboarding and ongoing training. Use it for live workshops, then reuse the best sessions for every new hire.

Most online training looks the same: a long slide deck, a presenter reading it aloud and cameras switched off. People sit through it, but little sticks, because participants have nothing to do. This guide covers live workshops, onboarding and ongoing training, and how to manage it all as an organization in Educastic.

Why does a whiteboard work for workplace training?

A whiteboard works because adults learn best when training connects to their actual work and they get to practise it. A whiteboard supports both:

  • Real materials. Upload the actual policy, form or process document to Educastic as a PDF and annotate it live. Word and other documents convert to PDF on upload, and you can import files from Google Drive, Dropbox and OneDrive.
  • Visible thinking. Draw the workflow, the org chart or the customer journey step by step, instead of showing a finished diagram.
  • Participation. Educastic lets trainers give a participant drawing access, so they map out their own version of a process on the shared board.

How do you run an engaging training workshop online?

Run the workshop as a series of short blocks, each with a task for participants. A simple structure:

  1. Opening question. Ask participants to answer in the chat, for example "What slows down this process today?"
  2. Short input. Explain one idea on the board, five to ten minutes at most.
  3. Group task. Use sticky notes for ideas, then sort them together into themes.
  4. Check. Publish a short in-class test in Educastic. Participants answer against a countdown and you see a summary of the answers.
  5. Wrap-up. Capture agreed actions on a final board tab.

Use a new board tab for each block. At the end, participants can download the session's resources as a PDF, which gives them a clean record of the workshop without anyone taking minutes.

How do you onboard new hires with a whiteboard?

Onboard new hires by combining a self-paced course, for information everyone needs to read, with live whiteboard sessions for the conversations that work better face to face. Educastic supports both sides.

Educastic's course builder lets you create courses with modules, lessons, materials, quizzes, progress tracking and certificates. Put the stable content there: company policies, product basics, tool guides. New hires work through it at their own pace, and you can see their progress.

For the live part, set up a series: a multi-session programme with subscribers and a shareable page. A new hire subscribes once and sees every session in their first weeks. Scheduled sessions can sync with Google Calendar.

A sample onboarding plan

Week Self-paced course Live session on the whiteboard
1 Company and policies module, short quiz Welcome session and Q&A with the team lead
2 Product basics module Walk through a real customer case on the board
3 Tools and processes module Hands-on practice: the new hire maps a process
4 Final quiz and certificate Review session and next steps

This plan is only an example. Adjust the topics and pace to your team.

Can you reuse training sessions for future hires?

Yes, record a strong session once and the next group of new hires can watch it. In Educastic, recordings are kept in the My Recordings tab of My Library, can be replayed and downloaded, and can be played back inside a later class, so a trainer can show the recording and then take questions live. Only that class's participants, admitted guests and the owner can watch a recording.

Tell participants at the start of a session that it is being recorded. For practical tips, see how to record online classes.

How do you manage training across a company?

Manage training across a company with an Educastic organization, which includes an admin dashboard for instructors, learners, roles and permissions, courses, schedules, grades, storage and billing. You can add trainers as instructors, add employees as learners, and keep courses and schedules in one place. A branded organization front site gives your training a home that looks like your company.

Inside Educastic sessions, trainers keep control. A waiting room holds guests until the trainer admits them, which is useful when external partners join. Per-participant controls let the trainer give or take back drawing access, tab access and file loading at any time.

How do you follow up after a training session?

Follow up by sending participants material they can revisit. After a session, Educastic can email a session report PDF (session details and the trainer's notes) to the trainer and participants. Combine it with the board PDF and the recording, and everyone has three ways to revisit the content. Educastic also gives trainers attendance and session reports, so you can see who attended and who still needs to catch up.

Frequently asked questions

Can external partners join a training session? Yes. Share the invite link. Guests wait in the waiting room until the trainer admits them.

Can we issue certificates for completed training? Yes. The course builder includes progress tracking and certificates.

Do participants need to install anything? No. Educastic runs in the browser on laptops, tablets and touch screens.

How many people can attend a live session? Up to 49: Educastic has been tested with up to 49 attendees in one session.
